This Privacy Policy only applies to the extent we collect, use and disclose personal information in connection with this website.

What information do we collect?

The types of personal information we collect will depend on your relationship and interactions with us. We may collect personal information about guests, prospective guests, property owners, contractors, suppliers and other individuals who interact with our business.

The personal information we may collect includes:

  • Identity information, such as your name, date of birth and, where reasonably required, copies or details of identification documents used to verify your identity.
  • Contact information, including your residential or postal address, email address and telephone number.
  • Booking and accommodation information, including properties booked, dates of stay, number and names of guests, booking history, special requests and information relating to your stay.
  • Payment and transaction information, including payment details, amounts paid or refunded, security deposits, bonds, charges and transaction records. Where payments are processed by a third-party payment provider or booking platform, we may not directly store your complete credit or debit card details.
  • Property owner information, including contact details, property details, bank account details required for the payment of rental proceeds, ownership information, statements, agreements and other information necessary for us to manage a property on an owner’s behalf.
  • Communications, including emails, telephone enquiries, SMS messages, online messages, complaints, feedback and other correspondence with us.
  • Guest verification and compliance information, including information reasonably required to verify a guest’s identity, administer security deposits or bonds, investigate property damage, enforce booking terms and house rules, or comply with short-term rental accommodation requirements.
  • Property access information, such as records relating to keys, access codes, smart locks or other property access systems.
  • Images and recordings, which may include photographs supplied by you, photographs relating to property condition or damage, and CCTV or security footage where CCTV operates at a property or premises and its use is permitted by law.
  • Website and technology information, including IP address, device and browser information, cookies, website usage information and information collected through our online booking systems.
  • Marketing preferences, including whether you have subscribed to receive promotional communications from us and your communication preferences.
  • Information about contractors and suppliers, including names, business and contact details, licences or qualifications where applicable, banking details and records relating to services provided.
  • Other information that you voluntarily provide to us or that is reasonably necessary for us to provide our services, manage properties, administer bookings, respond to enquiries or comply with our legal obligations.

We may collect personal information directly from you or from third parties involved in providing our services, including property owners, booking platforms, payment processors, property management systems and other service providers.

Where reasonably practicable, you may choose not to provide certain personal information. However, if information is required to process a booking, verify your identity, provide access to a property, make or receive payments, manage a property or comply with our legal obligations, we may be unable to provide the relevant service without it.

Why do we collect this information?

We collect, hold, use and disclose personal information where it is reasonably necessary for us to operate our business and provide property management and short-term accommodation services.

We may collect and use personal information for the following purposes:

  • Managing bookings and accommodation – to process reservations, confirm bookings, communicate with guests, arrange check-in and check-out, provide property access and manage changes, cancellations and refunds.
  • Guest identification and verification – to confirm the identity of guests, help protect properties and property owners, reduce the risk of fraud and ensure compliance with booking conditions and house rules.
  • Processing payments – to process accommodation payments, fees, refunds, security deposits, bonds and other amounts associated with a booking.
  • Managing security deposits, damage and additional charges – to administer security deposits or bonds and investigate and recover amounts relating to property damage, excessive cleaning, missing items or other charges permitted under the applicable booking terms.
  • Providing property management services – to manage properties on behalf of property owners, including reservations, guest communications, maintenance, cleaning, financial administration, owner reporting and payment of rental proceeds.
  • Communicating with you – to respond to enquiries, provide booking information, send important information about a stay or property, resolve complaints and provide customer service.
  • Property safety and security – to help protect guests, property owners, employees, contractors and properties, including investigating incidents, complaints, damage, unauthorised access or breaches of house rules.
  • Managing contractors and suppliers – to arrange cleaning, maintenance, repairs and other services required for properties under our management.
  • Meeting our legal and regulatory obligations – to comply with applicable laws, regulations, taxation and accounting requirements, record-keeping obligations, short-term rental accommodation requirements and lawful requests from government or regulatory authorities.
  • Preventing fraud and misconduct – to identify, investigate and prevent suspected fraudulent transactions, unlawful activity, misuse of properties or serious breaches of booking conditions.
  • Improving our services – to understand how our services and website are used, improve our properties and guest experience, manage complaints and monitor the performance of our business.
  • Marketing and promotions – where permitted by law, to provide information about properties, special offers and other services that may be of interest to you. You may opt out of receiving direct marketing communications at any time.
  • Establishing or defending legal claims – where reasonably necessary to resolve disputes, recover money owed, respond to claims or protect our legal rights and the rights of property owners.

We will generally only collect, use or disclose personal information for the purpose for which it was collected, for a related purpose that would reasonably be expected, with your consent, or where otherwise permitted or required by law.

Automated Decision Making (ADM)

Information disclosed

We will use and disclose personal information only for the purposes for which it is collected in accordance with the Act, including:

  • providing services and customer support, including service updates;
  • maintaining and updating our records;
  • comparing information for accuracy, and verifying it with third parties; and
  • providing information as authorised or required by law or a relevant government body or authority.

Overseas disclosure

We do not disclose personal information overseas.

We may use cloud storage and IT servers that may be located overseas to store the personal information we hold.  As electronic or networked storage can be accessed from various countries through an internet connection it is not always practical to know in which country information about an individual may be held.

Please note that in some cases countries to which we transfer information may not have laws or binding schemes that have the effect of protecting your information in a way that overall is at least substantially similar to the way in which the Australian Privacy Principles protect your information, and there may not be any mechanism or binding scheme that you can access to take action to enforce legal protections.

Anonymity and pseudonyms

General users of the website do not need to disclose their identity to us in order to use this website.   This website does not, therefore, collect personal information about people who generally access it except in the circumstances described above.

Please note that we may not be able to provide you with some or all of our services if you are anonymous or use a pseudonym.

Cookies

A cookie is an electronic token that is passed to the user’s browser which passes it back to the server whenever a page is sent to the user.   Our servers may generate cookies which are used to keep track of the pages that users have accessed while using the website. The cookie also allows data to be inputted into a form or template and temporarily stored until the user chooses to save that form or template.  Cookies generally remain on the user’s computer even after an internet session is ended and the computer rebooted. We take reasonable steps to protect all information which we hold (including personal information) from misuse, loss, and unauthorised access, modification or disclosure.

We may store information about you in cloud or other types of networked or electronic storage.  As electronic or networked storage can be accessed from various countries through an internet connection it is not always practical to know in which country personal information about you may be held. 

Where appropriate, we use secure transmission facilities.  However, no transmission of information over the internet can be guaranteed to be completely secure and we do not warrant the security of any information transmitted to us over the internet.

Marketing and opt-out

We may also use the information, including personal information (excluding sensitive information), provided by users of this website for marketing and research purposes, to analyse and improve products, benefits and services and to inform users of products, services and benefits provided by us, our related entities, suppliers or sponsors which we consider may be of value or interest to users, unless the user tells us, or has previously told us, not to.  If a user does not wish to receive any information about such products, services and benefits they can contact the Privacy Officer (details specified below).  We will not use your sensitive information for these purposes without your consent.

Accessing your Personal Information

Users of the website whose information we either collect, use or disclose have the right to request access to any personal information held by us which relates to them, unless we are permitted to withhold that information. We may charge a reasonable fee where access to personal information is provided.  Any requests for access to a user’s personal information should be made in writing to the Privacy Officer (details specified below).  The user also has the right to request the correction of any personal information which relates to them that is inaccurate, incomplete, irrelevant, misleading or out-of-date.
